Changing Your Patient's Consultation Status

Wondering how to send your patient a rescheduling link, how to cancel a consultation and more?

From a patient's profile, users can complete, reschedule, or cancel appointments. This feature offers flexibility with appointments that have already been scheduled.

Viewing Booking Details

When viewing a patient's consultation, the consultation details card will display information about how and where the appointment was booked.

Booking Source

If the appointment was made through a specific booking channel, a Booking Source field will appear in the consultation details card. This indicates the channel the patient used to book — for example, Reserve with Google or a Mass Booking Link.

Created By

If no specific booking channel was used, a Created By field will appear instead. This shows whether the appointment was:

  • Booked by the pharmacy — the appointment was manually created by a pharmacy staff member.

  • Booked by the patient — the patient self-scheduled through the pharmacy's online scheduling page.

Completing a Patient Consultation

To keep track of patients, one can complete their scheduled consultations via their profiles.

STEP 1: Select the consultation to be completed from the patient's profile. For instance, completing a patient's Flu Shot appointment.

STEP 2: After choosing the specific consultation, select Complete located at the top right-hand corner. A prompt will appear to confirm this action.


Scheduling an Appointment Time

Appointments can be scheduled through MedMe in one of two ways:

Through the individual patient's profile

STEP 1: Upon accessing a patient profile, there is an option to Add next to the list of existing consultations. Clicking on this button opens a pop-up.

STEP 2: In the pop-up, select the Appointment Type and schedule the date and time of the appointment. Click the green Schedule Appointment to save the information.

Through the "Appointments" Tab

STEP 1: Access the Appointments Tab on the left-hand side navigation bar.

STEP 2: Select Add on the right-hand side to open the pop-up.

STEP 3: In the pop-up that appears, select the Appointment Type and schedule the date and time of the appointment. Selecting the green Schedule Appointment will save this information.


Rescheduling an Appointment Time

In case a patient's appointment needs to be rescheduled, this action can be carried out directly from the patient's profile.

STEP 1: Select the consultation to be rescheduled from the patient's profile. For instance, rescheduling a patient's Flu Shot (Regular) appointment.

STEP 2: After choosing the specific consultation, select the down arrow next to Complete, located at the top right-hand corner to open the dropdown menu and select Reschedule.

STEP 3: Choose to either select a new date and time or invite the patient to reschedule through a booking link. If sending a booking link, specify the date ranges for the new appointment. The current appointment can be canceled or held until rescheduled.

STEP 4: Select a reason for rescheduling which will be sent as a note for the patient. Choose a reason from the dropdown menu or select Other to add a custom note.

STEP 5: Confirm the details and select Submit

Reminder: In all instances, users must ensure they have set their calendar availabilities by setting up their calendar for each of their appointment types.


Canceling a Patient Consultation

Occasionally, due to changes in schedule or supply, a patient's appointment may need to be canceled.

STEP 1: Select the consultation to be canceled from the patient's profile.

STEP 2: After choosing the specific consultation, click the down arrow next to Complete, located at the top right-hand corner to open the dropdown menu and select Cancel.


Step 3: Select a reason for cancellation and choose the notification method — Email, SMS, or both. To cancel without notifying the patient, leave both options unchecked.

Note: If the Email notification is not selected, the appointment will not be automatically removed from the patient's personal calendar. The patient will need to manually remove it from their calendar.

STEP 4: Click the Confirm Cancellation button.

Please Note: Patients can cancel their appointment by accessing their appointment confirmation email, and clicking Cancel Appointment at the bottom of the page.


How to Change a Consultation Status from No Show

Occasionally, a consultation may be marked as a No Show when the patient arrives a few minutes late. In these cases, the consultation status can be updated to reflect the correct appointment outcome.

  1. Navigate to the patient’s profile in MedMe.

  2. Locate the consultation that was marked as No Show.

  3. In the top-right corner of the consultation page, locate the No Show status.

  4. Click the dropdown arrow beside No Show.

  5. Select Undo No Show from the dropdown menu.

  6. Click the dropdown arrow again after the No Show status has been removed.

  7. Select the appropriate consultation status from the dropdown menu.

Please Note: Undoing the No Show status reopens the consultation and allows a new status to be assigned.
