Table of Contents

Book the Appointment

To begin, create a new appointment and select Travel Consultation from the dropdown list. Choose the appointment method, set the duration, and select Conduct Now if starting immediately.

The appointment appears under the patient’s record, showing profile details, appointment status, and consent.

  • If consent has not yet been recorded, click Record Patient Consent before documentation begins.

  • Patients can also self-book a Travel Consultation through the Booking Portal.

  • Group bookings of up to six patients are supported.

Tip: Encourage patients to complete intake before arrival to reduce in-store wait time.

Edit Documentation

After booking, click Edit Documentation to begin the consultation. This opens the structured Travel Consultation Form, which includes:

  • Patient Intake

  • Vaccination Screening

  • Vaccination and Medication Recommendations and/or Prescribing

  • Pharmacist Certification

  • Vaccine Administration

Pharmacists can navigate between sections using the sidebar and save progress at any time.

Patient Intake

The Patient Intake section includes patient-facing questionnaires that gather all essential travel and health details:

  • Contact Information

  • Medical Information

  • Medical History

  • Travel Details

  • Vaccination Screening

Patients complete these forms in advance to provide key details about their health background, allergies, and upcoming travel plans.

For Instance: For group travel bookings, information from one traveller can be copied to other group members; saving time while maintaining consistency across shared itineraries.

Pharmacist Intake

The Pharmacist Intake section gathers clinical and travel-related data needed for assessment and prescribing, such as:

  • Height, weight, pregnancy status

  • Past routine and travel vaccines

  • Trip details (purpose, duration, destination type)

This documentation supports personalized counselling, safe prescribing, and adherence to travel medicine best practices.

Vaccine and Medication Recommendations

Pharmacists can document recommendations and prescriptions using three structured areas:

  • Routine Vaccinations

  • Travel Vaccinations

  • Travel and OTC Medications

Each section allows:

  • Selecting recommend or prescribe

  • Entering quantity, repeats, and directions

  • Adding comments or special instructions

If a specific vaccine or medication is not listed, pharmacists can click Add Vaccine to create a custom recommendation or prescription.

Pharmacist Certification & Vaccine Administration

The Pharmacist Certification section confirms all recommendations are made within the pharmacist’s scope of practice. Pharmacists complete this step by:

  1. Checking the certification box

  2. Signing electronically

  3. Entering their license number

In the Vaccine Administration section, record all vaccine details including:

  • Condition, rationale, lot number, DIN, expiry date, route, and injection site

  • Dose number and next dose due date

  • Counselling confirmation

The main form allows documentation for up to three vaccines, while the Additional Vaccine Administration form supports up to five additional vaccines.

Documentation and Export

After completing the consultation, select Save and Complete to generate patient and pharmacy-facing documentation:

  • Travel Consultation Intake – all patient intake responses

  • Travel Recommendations and Prescriptions – pharmacist recommendations and prescription hard copy

  • Patient Injection Summary – vaccines administered

  • Consent Form for Immunizations/Injections – vaccine screening and consent record

Documents can be downloaded, printed, or stored in the patient profile for billing, record-keeping, or follow-up purposes.

Schedule Follow-Up

To book follow-up appointments:

  • Use Schedule Follow-Up for multi-dose vaccines.

  • For single vaccines, select the specific appointment type.

  • For multiple vaccines, choose Travel Vaccinations or another relevant appointment type.

Reminder: Scheduling follow-ups at the end of each consultation helps ensure completion of vaccine series.
