Enabling Public Booking Visibility

In your Settings tab, click into the appointment type you would like to make visible to the public.

Ensure that this line is turned on. If not, this appointment type will not show up on your booking portal. Troubleshooting visibility issues may involve checking for misaligned slot durations or conflicting availability settings. For example, ensure that the duration and available time slots align, and review custom or one-off availability settings that might override the main calendar.

Troubleshooting Appointment Visibility Issues on Public Booking Pages

Visibility issues for appointment types on public booking pages can disrupt clinic scheduling workflows. This guide offers a structured approach to identify and resolve common problems affecting the appearance of appointment types like flu shots, RSV, or COVID appointments on public scheduling interfaces.

Common Reasons for Visibility Issues

Several factors can prevent appointment types from appearing in public booking interfaces:

  1. Misaligned Slot Durations:

    • Appointment durations might conflict with the availability of time slots. For example, if there’s a short duration appointment but insufficient availability, the appointment won’t show up.

    • Adjust the available slot time or reduce the appointment duration to resolve this.

  2. Overriding Availability Settings:

    • Appointment types may have custom or one-off availability settings that conflict with the main calendar availability.

    • Examples include:

      • Custom Availability: Days are configured as "closed" for specific types, hiding time slots.

      • One-Off Availability: Only specific dates are open, further limiting visibility.

    • Disabling these overrides allows the appointment type to use the main calendar’s availability.

Step-by-Step Troubleshooting Process

Follow these steps to investigate and resolve visibility issues:

  1. Check Duration Settings:

    • Navigate to the appointment type settings menu.

    • Verify that the duration of the appointment aligns with available time slots. Increase the slot availability or decrease appointment duration to fix mismatches.

  2. Review Availability Settings:

    • Open the "Custom Availability" tab for the specific appointment type.

    • If "Custom Availability" is enabled, untick the box to disable it.

    • Similarly, disable "One-Off Availability" to allow appointments to use the main calendar’s default availability.

  3. Refresh and Test:

    • Save your changes, then check whether the appointment type now appears on the public booking page.

    • Use a test booking to verify corrected visibility.

Advanced Considerations

  • Ensure all hours of operation and booking rules are set properly across your main calendar.

  • Occasionally, visibility issues arise due to browser caching. Clear caches or test on an incognito/private browsing session to troubleshoot further.

  • Document recurring overrides or customizations to simplify troubleshooting if issues reoccur.
