Pharmacy Initiated Appointments

Different ways a pharmacist can directly schedule or book an appointment with a specific patient

Schedule an appointment with a patient from three places: the Calendar tab, the Appointments tab, and the Patient Profile. This article is especially helpful if a patient walks into the pharmacy and has not scheduled an appointment.


Adding an Appointment from the Calendar Tab

There are two ways to do this:

Click to Create

Directly click on any available time slot in the calendar to see a popover appear.

  1. Select the Patient.

  2. Select the Appointment Type and modify the Method or Duration if desired.

  3. Save. The appointment will appear directly in the calendar.

Creating Appointments in the Past

Pharmacists can create appointments on past dates and times directly from the calendar. This is useful for:

  • Documenting walk-in patients who arrived earlier than expected

  • Correcting appointment records when an encounter occurred on a different date

  • Backdating time-sensitive specialty drug administrations for accurate clinical intervals

To create a past appointment from the calendar, simply click on any past time slot and complete the appointment details as usual.

Note: patients will not receive booking confirmations for appointments created in the past.

Tip: Appointments can be created in these areas:

  • Beside Blocked Times: Click the whitespace beside a blocked time to create an appointment overlapping it.

  • Unavailable Hours: Click on grey time slots (outside of normal calendar availability).

Using the "Create" Button

  1. Click Create.

  2. Select the Patient.

  3. Select the Appointment Type and and modify the Method, Duration, or Calendar if desired.

  4. Choose a Booking Option (Book Now, Conduct Now, Invite Now, or Invite Later) and add the appointment.


Adding an Appointment from the Appointments Tab

  1. Click Add.

  2. Select the Patient.

  3. Select the Appointment Type and modify the Method, Duration, or Calendar if desired.

  4. Choose a Booking Option (Book Now, Conduct Now, Invite Now, or Invite Later) and add the appointment.


Adding an Appointment from the Patient Profile

  1. Go to the Patients tab.

  2. Search for the name of the patient.

  3. Select Add in the patient profile.

  4. Choose an Appointment Type.

  5. Choose a Booking Option (Book Now, Conduct Now, Invite Now, or Invite Later) and add the appointment.


Booking Options

The pharmacist has four options to facilitate these appointments:

Book Now

The pharmacist schedules the appointment when a specific date and time are already decided and agreed upon.

SMS and Email booking confirmation

Patient will also receive a link to fill out intake documentation if "Send Intake Documentation" is selected.

Note: When an appointment is scheduled into a past date, patient booking confirmations (SMS and email) are automatically suppressed.

Conduct Now

The pharmacist is facilitating a walk-in appointment.

No SMS or Email booking confirmation.

Patient will receive a documentation link via email and SMS if "Send Intake Documentation" is selected.

Invite Now

Pharmacist sends the patient a booking link for them to schedule the appointment themselves.

SMS and/or Email
(Based on pharmacist selection).

Invite Later

Pharmacist schedules a booking link to be sent automatically at a later date and time for the patient to schedule the appointment themselves.

SMS and/or Email
(Based on pharmacist selection).

Book Now

  1. Select the Start Date and Time of the appointment.

    • Natural language can be used to select the date (e.g., "in 30 days").

    • Past dates: Pharmacists can select a date and time in the past to backdate an appointment for clinical accuracy. When a past date is selected, patient booking confirmations (SMS and email) are automatically suppressed.

    • Check Override in the date or time picker to book over blocked times or outside normal availability.

  2. Send Intake Documentation: Select this to send the patient a link to fill out intake documentation. This checkbox is automatically checked by default if there are intake forms associated with the appointment type (i.e. any form that is not Contact Information or Medical Information).

  3. Click Add.

Conduct Now

  1. Send Intake Documentation: Select this to send the patient a link to fill out intake documentation. This checkbox is automatically checked by default if there are intake forms associated with the appointment type (i.e. any form that is not Contact Information or Medical Information).

  2. Click Add.

  3. The appointment will initiate and the pharmacist will be taken to the appointment on the patient's profile.

Note: Appointments booked via Conduct Now do not appear on the calendar.

Invite Now

  1. Select the Limit Booking Window (optional).

    • This allows a date range to be selected in which the patient can book.

  2. Select the Method of Delivery (Email and/or SMS).

  3. Click Add.

Invite Later

  1. Select the Scheduled Date and Time for the invite to be sent.

    • Natural language can be used to select the date (e.g., "30 days").

  2. Select the Limit Booking Window (optional).

    • This allows a date range to be selected in which the patient can book.

  3. Select the Method of Delivery (Email and/or SMS).

  4. Click Add.

Please Note: For Invite Now and Invite Later, the patient receives a single link to schedule their appointment. After selecting a date and time, they will be prompted to fill out their intake documentation.
