Overview
This article explains how to configure appointment availability in MedMe. It outlines how to set availability within both Appointment Types and Calendar Settings.
Reminder: Patients can only self-schedule if the Public Intake is enabled.
Understanding Appointment vs Calendar Availability
There are two settings that determine appointment scheduling:
Appointment Availability: Custom availability for specific appointment types.
Calendar Availability: General working hours and blocked times for each calendar (e.g., a pharmacist or consultation room).
Please Note: Appointment Availability settings can override Calendar Availability if custom options are selected.
How to Set Appointment Availability
Select the three dots icon on the left navigation panel to open the Settings Menu.
Click Appointment Types.
Search for and select the desired Appointment Type.
Click Calendar Availability.
On the Calendar Availability page:
Default Settings: Leave settings as default to follow the assigned calendar's availability.
Overlap with Custom Availability:
Select the checkbox to enable a custom schedule.
Define specific availability for this appointment type.
Tip: Use custom availability when only offering certain services on specific days.
One-off Availability
Use One-off Availability for temporary scheduling needs, such as special clinics or vaccination events.
Scroll to the Flexible Availability section.
Toggle One-off Calendar Availability. Type CONFIRM in capital letters and enter your name.
Add specific dates and times for the appointment. These are now treated as one off appointment availabilities that you can set to repeat or only as single events.
Warning: One-off availability overrides regular scheduling for the selected appointment type.
How to Set Calendar Availability
Select the three dots icon on the left navigation panel.
Click Calendar Settings.
Choose the calendar to configure.
Adjust the following:
Working Hours: Define hours available for bookings.
Blocked Times: Set recurring unavailable periods.
Calendar Name: Rename to reflect the associated pharmacist, room, or purpose.
For Instance: A calendar can be named "Pharmacist A" or "Immunization Room" for clarity.
Flexible Availability
One-off Availability: Use one-off availability for specific days, beneficial for accommodating unique practitioner week-to-week schedules.
Use the Flexible Availability one-off calendar availability toggle.
Add specific dates and times.
Troubleshooting & Reminders
If an appointment is not appearing in the Booking Portal, verify:
Public Intake is enabled.
The appointment type has valid availability.
The linked calendar has open working hours.
The Appointment Type is assigned to the Calendar
Use One-off Availability for:
Pop-up clinics
Seasonal programs
Pharmacist availability on specific dates
