Overview
The Clinics feature allows pharmacists to offer services outside the pharmacy—such as flu or COVID-19 vaccine clinics at community centres or corporate offices. Clinics are enabled by default for:
Flu Shot (Regular)
Flu Shot (65+)
Adult COVID Vaccine
Infant Covid Vaccine
Flu Vaccine (Nasal Spray)
Tip: Additional appointment types can be enabled upon request through our Support channels
Add a New Clinic
Navigate to Settings.
Select Clinics from the side panel.
Click Add in the top right corner.
Choose an Appointment Type from the dropdown menu.
Enter a Clinic Name and Location. This address replaces the default pharmacy location in all Patient emails and SMS notifications.
Click Add to save the new clinic.
Please Note: Each clinic must be linked to at least one Appointment Type before it can accept bookings.
Set Calendar Availability
Go to Settings > Clinics.
Select the clinic to configure.
Open the Calendar Availability tab.
Set the Start Date and End Date for the clinic.
Define the Start Time and End Time for each active day.
Mark any days as Closed by selecting the corresponding checkbox.
Please Note: Clinic availability is independent from the pharmacy's standard calendar. Updating the pharmacy's regular hours will not affect a clinic's schedule.
Modify the Clinic Calendar
A new calendar is automatically created for each clinic.
Open the clinic's Calendar Availability tab.
Scroll to the bottom of the tab to find the associated calendar.
Click the calendar to edit it.
Update the Calendar Name and Description as needed.
Add Blocked Times for breaks or periods when the clinic is unavailable.
Tip: Blocked times can help control appointment flow around breaks, setup, or teardown periods. For more detail, see Blocked Times.
Modify Clinic Details
Open the Details tab in the clinic profile.
Edit the Clinic Name and Location if changes are needed.
For Instance: If a clinic relocates to a different facility, update the Location field so confirmation and reminder messages reflect the new address.
Customize Appointment Messaging and Details
Navigate to Settings > Clinics.
Select the desired clinic.
Go to the Appointment Types tab.
Click on the appointment type to customize.
In the General tab, configure:
Public intake toggle
Rescheduling permissions
Appointment duration
Booking window
In the Details tab, update:
Description
Sub-description
Next Steps (included in confirmation and reminder emails)
Please Note: These updates are clinic-specific and do not affect the main Appointment Type settings used at the primary pharmacy location.
Reminder: Use the Next Steps field to add special instructions, such as parking information or ID requirements, so patients arrive prepared.
Send the Scheduling Link
Go to Settings > Clinics.
Select the clinic.
In the Appointment Types tab, locate the Self-Scheduling Link.
Click Copy to Clipboard to share the link.
Tip: Use the Send Custom Email feature to promote clinic bookings to patients directly from MedMe.
Clinic Bookings can be monitored from the Dashboard, Calendar or the Appointments tab.
Troubleshooting
The clinic does not appear as a booking option for patients: Confirm the clinic's Start Date and End Date fall within the current date range, and that at least one day is not marked Closed.
The Self-Scheduling Link leads to the wrong Appointment Type: Return to Settings > Clinics > [Clinic] > Appointment Types and confirm the correct Appointment Type is linked to the clinic before copying the link again.
Confirmation emails still show the pharmacy's default address: Check that the Location field was saved correctly under the clinic's Details tab.
Warning: Deleting a clinic also removes its associated calendar and Blocked Times. Confirm no active Bookings remain before deleting a clinic.
Conclusion
Clinics allow pharmacies to extend services beyond their physical location by creating a dedicated calendar, availability window, and scheduling links for each event. To set one up, add the clinic, configure its availability, customize the Appointment Type details, and share the Self-Scheduling Link with patients.
