How to Run a Clinic without Appointment Times (Skip timeslot selection)

The guide for clinics in "Skip timeslot selection" mode

This guide shows how a pharmacy can run an offsite clinic in MedMe without timeslots. Patients use a scheduling link to sign up and complete their intake and consent forms ahead of time, but they never pick an appointment time. Think of it as a digital way for patients to fill in their forms before the pharmacy arrives.

In this article, pharmacy staff will learn how to set up the clinic, share the link, find who signed up, and prepare for clinic day.

1. What is a Clinic without Appointment Times?

It's an external clinic set up for one date and one location. When Skip timeslot selection is turned on, patients book through the clinic's scheduling link without choosing a time. They complete their intake and consent before the clinic. On clinic day, staff work through the list of signed-up patients.

In practice, the pharmacy uses MedMe as a digital form. Patients are not booking a set time. They are filling in their forms and telling the pharmacy they want a vaccine. This helps the pharmacy gauge interest and plan how many vaccines to bring.

Common use cases

  • Retirement homes and long-term care: Residents or their families complete consent ahead of time. Staff vaccinate residents room by room or in a common area.

  • Schools: Parents or guardians complete forms for students before the clinic day.

  • Workplace flu clinics: Employees sign up through a link shared by HR and drop by when they can.

  • Community pop-ups: The pharmacy collects forms in advance and serves people as they arrive.

In each case, the pharmacy knows who is coming and how many doses to bring, without tying each patient to a timeslot.

Warning: Booking confirmations or appointment reminders are not sent to patients. If patients need a set time, a confirmation message, or text reminders, use a regular clinic with timeslots.

Please Note: This feature is turned on for each pharmacy. If the Skip timeslot selection option does not appear, contact MedMe Support.

2. Create a Clinic

  1. Go to Settings and select Clinics.

  2. Click to create a new clinic.

  3. Enter the clinic Name, Location, and Date.

  4. Add every Appointment Type the clinic may offer.

  5. Turn on Skip timeslot selection for each appointment type.

  6. Turn on Public Intake when the pharmacy is ready to accept sign-ups.

  7. Save the clinic.

Please Note: Each clinic covers one date and timeframe; the clinic name should reflect this too. For a multi-day event, create a separate clinic for each day.

3. Share the Scheduling Link

  1. Open the clinic in Settings > Clinics.

  2. Copy the clinic's Scheduling Link.

  3. Send the link to the organizer, such as the HR lead or facility administrator, to share with patients.

When a patient opens the link:

  1. The page shows the clinic's name, date, and location.

  2. The patient selects service(s).

  3. Instead of choosing a time, the patient is asked how many people they are booking for.

  4. The patient completes the intake and consent forms.

  5. The final screen shows the clinic name, date, and location. No confirmation message is sent.

4. Review Who Has Signed Up

Sign-ups for a Skip Timeslot Clinic do not appear on the regular calendar view. Use the Appointments tab to find them.

Please Note: Skip Timeslot Clinic appointments behave like walk-in appointments in MedMe. Each one is assigned to the pharmacy's primary shared calendar. This is only where the record is stored. The appointment is not booked into that calendar and has no set time, so it does not take up a time on the calendar or affect its availability.

  1. Go to the Appointments tab.

  2. Click Filters.

  3. Under Appointment Type, scroll to the clinic's appointment types. These show a small clinic icon. Select them.

  4. Set the appointment date filter to the day the clinic was created and the end date to the day the clinic runs.

  5. Click Apply at the bottom of the filter section.

  6. To count patients or doses, export the list as a CSV.

Warning: Because patients don't pick a timeslot, there is no appointment time to save. Instead, MedMe saves the appointment date as the day the patient completed their forms, not the clinic date. If the date range only covers clinic day, most sign-ups will be missing.

5. Prepare for Clinic Day

Lock the sign-up list

  1. Open the clinic in Settings > Clinics.

  2. Turn off Public Intake so no new patients can sign up.

Print forms and record vaccine details

Use Batch Print to print forms and Batch Update to fill in vaccine details for every patient at once. For step-by-step instructions, see Batch Printing Forms and Batch Updating.

For Clinics without timeslots (and Clinics in general), there are two differences:

  • Select the appointment types under the clinic, not the pharmacy's regular appointment types.

  • The date field is hidden. Batch Print and Batch Update include every patient signed up for the clinic.

Add a service on the day

If a patient wants another service on site, such as adding COVID-19 to a flu visit:

  1. Open the patient's profile.

  2. Select the appointment type under the clinic, not the regular one.

  3. Click Conduct Now.

For Instance: A patient signed up for a flu shot and asks for a COVID-19 vaccine at the clinic. Staff add the clinic's COVID-19 appointment type and click Conduct Now.
