How to set a lunch break, block off a statutory holiday, or set different booking durations at different times of the day

Our Blocked Times feature is a nifty tool that can allow you to do multiple things: set a lunch break or block entire days off (e.g. statutory holiday, simply unavailable, etc.), or to even set periods of times during the day where you can "create" different appointment durations.

Blocking Time Off

Step 1: Navigate to your Settings page.

  • You may have a tab that says "Shared Calendar" if your platform has multiple calendars. If not, you will see a tab that says "Blocked Times" or "Personal Calendar" instead.

In either case, we are simply looking for the area where you can set blocked times to denote when you are unavailable.

If you have multiple calendars, navigate to the calendar you want to add specific blocked times for.

Step 2: After clicking the "Add" button on the right, you will see this modal pop up. Here, you can select the day, time(s), if you would want it to be all day, and set the frequency of a blocked time. You can set your blocked times in 5-min increments.

Step 3: After clicking "Save", your newly added blocked time will be saved as such. You will see dark sections in your Appointments Tab (week view) that indicate unavailable times.


Using Blocked Times to Create Alternate Appointment Durations

Let's look at an example scenario, where I want to book for 15-minute appointments from 4PM-5PM, but I want to accept 10-minute appointments throughout the day. How would this work out?

Step 1: From your Settings, navigate to the appointment whose duration you would like to adjust. In this case, we have clicked into the COVID-19 Vaccine (Dose 1) appointment type. From here, you can see the general duration of the appointment; in this case, 1 appointment will be by default 10 minutes.

  • When patients book from their end, they will only be able to book 10-min appointments

  • NOTE: on your side, you will be able to manually book for 20, 30, etc. min appointments as you would like. 10 minutes will be your base interval. Patients will not be able to see these time options.

Step 2: Going back to your "Blocked Times" tab/section, we will now add in a series of blocked times to set aside time between 4-5PM. We will be setting 5-min blocked time increments "create" 15-min appointments.

  • 4:00 - 4:15 = 10 min appointment + 5 min block

  • 4:15 - 4:30 = 10 min appointment + 5 min block

  • 4:30 - 4:45 = 10 min appointment + 5 min block

  • 4:45 - 5:00 = 10 min appointment + 5 min block

Our blocked times will look like this:

And as a result, our calendar now looks like this:

Now, your patients will now be able to book for:

  • 4:00PM

  • 4:15PM

  • 4:30PM

  • 4:45PM
