How to Use Mass Booking Links to Invite Patients in Bulk

How to use Mass Booking Links to invite existing patients to book flu shots or other appointments.

From the Appointments tab, you can send Booking Links in bulk via email or SMS to existing patients — so they can quickly book appointments at your pharmacy!


Why This Is Helpful

Tip: Mass Booking Links help pharmacies quickly reach out to existing patients and fill appointment slots efficiently.

  • Increase bookings: Market the pharmacy effectively and secure appointments before patients go elsewhere during vaccination campaigns.

  • Flexible delivery: Send Booking Links for any Appointment Type via email or SMS.

  • Improved patient management: No duplicate patient records are created when appointments are booked.

  • Patient optimized: The existing patient's Contact and Medical Info are pre-filled on intake forms for a fast booking experience.

  • Save time: No need to add patients to a waitlist — invite them to book appointments directly in a streamlined workflow.

Warning: Booking Links will not be sent to:

  1. Patients who already received a Booking Link in the last 7 days.

  2. Patients who have already booked an appointment.

  3. Patients who have unsubscribed.

  4. Duplicate patient profiles.


How it works

Step 1: Select patients

  1. Go to the Appointments tab.

  2. Use the filters on the left (e.g., date range, Appointment Type, status) to find the patients to invite.

  3. Select the patients using the checkboxes in the results list.

  • Quick Filters are available to target Flu and COVID patients from last flu season, segmented by age groups: under 65 and 65+.

Step 2: Send booking links

  1. Click Send Booking Links in the action bar.

  2. In the pop-up window, choose:

    • Appointment type (e.g., Flu Shot - Regular).

    • Delivery method (Email, SMS, or both).

  3. Checkmark "Confirm recipients" and click Send.

Please Note: The number of patients shown is an estimate. Some patients may be excluded based on:

  • Already received a Booking Link in the past 7 days

  • Already booked an appointment

  • Unsubscribed from communications

  • Duplicate profiles in the system

Step 3: Patient experience

  • Patients receive a booking invitation:

    • Email: A professional branded message with a “Book Your Appointment Now” button.

    • SMS: A simple text message with a booking link.

  • Patients can click the link to book a convenient time slot at the pharmacy. Their existing Contact and Medical Info will be automatically pre-filled in the intake form.

Reminder: Patients can unsubscribe from future Mass Booking Links by clicking the unsubscribe link in the email. This does not unsubscribe them from individual appointment notifications or individual Booking Links.
