Consent Requirements for AI Scribe
AI Scribe must not be activated without verbal patient consent. This requirement applies to every consultation, even if the patient has previously agreed.
Pharmacists must:
Clearly explain what AI Scribe is.
Confirm the patient understands and agrees to be transcribed.
Record the consent in the patient’s consultation record (done automatically when scribing starts).
Please Note: Consent must be confirmed before scribing. The Pharmacist will be prompted to confirm Patient Permission before the transcription and will not be able to move forward until this is done. If consent is not obtained, documentation should be completed manually.
How to Explain AI Scribe to Patients
Use plain language to describe:
What it is: “AI Scribe helps capture notes during our conversation so I can focus on our discussion.”
How it works: “It listens and creates a written summary. No audio is saved, just the text.”
Privacy: “Your data is stored securely and only accessible by pharmacy staff.”

Reminder: Patients can decline scribing, or ask to pause it at any time.
Support Tools: The Explainer Poster
To help simplify the explanation, MedMe provides a printable AI Scribe Explainer Poster. This optional tool can be:
Displayed in consultation rooms
Shared with patients digitally
Used to support patient understanding and transparency
To download the printable/digital poster, please see below.
For Instance: A patient reading the poster may feel more confident providing verbal consent once they understand how scribing works and how their privacy is protected.
What If a Patient Declines?
If the patient opts out:
Continue with manual documentation
Respect their preference without judgment
Ensure standard care is still provided
Warning: If a patient withdraws consent after transcription has started, the content cannot be deleted. Click Pause immediately if needed.
Conclusion
Pharmacists must verbally confirm patient consent before using AI Scribe. MedMe’s explainer poster is a helpful tool to support this process and promote patient understanding.
