Conducting a Consultation
During the consultation, AI Scribe transcribes the conversation in real time as you are speaking with the patient:
Starting AI Scribe in an appointment:
On the left side of the screen, you will see the green button 'Start Scribe'
Click Start Scribe and confirm patient consent for the transcription (you’ll notice a brief animation after clicking the button).
Run your appointment as you would normally run them:
Conduct your consultation as usual.
Ask routine questions to gather personal information, for example:
“What’s your name?”
“What’s your last name?”
“What’s your date of birth?”
“What’s your current address?”
“What’s your email address and mobile number?”
AI Scribe transcribes these responses in real time and you can verify the ongoing transcription by clicking the 'Show transcription and notes' button on the upper right of the modal.
Auto Population of Form Fields from the Appointment Transcript
Once you are ready to start filling out the documentation, you can automatically transfer the patient’s responses from the transcript into the corresponding fields:
Review the Transcription:
Pause the transcription if needed (pressing the dark green 'Pause Scribe' button) and quickly review the captured responses.
Auto Populate Fields:
Click the Populate Fields button.
The system processes the transcription and automatically maps the patient’s answers to the appropriate form fields.
Note: Processing and populating field may take a couple of seconds
Verifying and Finalizing Documentation
Review Mapped Data:
Once the fields are auto-populated, you can carefully review the information to ensure clinical accuracy.
Make any necessary manual adjustments if some details require correction or left blank.
Finalize Documentation:
When you are satisfied with the auto-filled data, continue with the final documentation steps to complete the consultation record.
Troubleshooting and Tips
Microphone Permissions:
AI Scribe requires microphone access to capture patient conversations. Ensure that your browser has granted the necessary microphone permissions to avoid any issues with transcription.
Permission and Activation:
If AI Scribe does not activate, verify that patient consent has been granted.
Processing Time:
Depending on the conversation length, processing may take a few seconds. Please be patient while the system auto-populates the fields.
With AI Scribe's auto population feature, you can streamline the documentation process, significantly reduce manual data entry, and ensure your patient records are accurately maintained.
