The MedMe platform is known for its powerful scheduling capabilities, but did you know we also support patient-driven walk-in appointments too?
To make clinical service administration as seamless as possible, all of our appointment types have a "Walk-In Appointments" toggle, which allow patients to come into your pharmacy at anytime, and fill out contact information, screening, and consent online before coming to the pharmacy.
Looking for ways to manually document a "walk-in" appointment on the Pharmacist portal? Check out our article on our "Conduct Now" feature!
TABLE OF CONTENTS
1. Turn on "Walk-In" Mode
To turn on "Walk-In" Mode, go to Settings > Appointment Types, and click on your desired appointment. On the General Tab of the appointment type's settings, look for the "Walk-In Appointments" toggle.
To turn "Walk-In" Mode ON, toggle to BLUE. To turn "Walk-In Mode" OFF, toggle to GREY. In the example below, we have turned the "Walk-In" Mode on for the Flu Vaccine (Regular) appointment type.
2. Patient Experience
When "Walk-In" Mode is on, the patient will be able to choose the "Walk-In" option upon clicking into the appointment type. This allows them to bypass time selection and proceed straight to completing the appointment screening questions and consent. Once the patient has finished, they are instructed to let a pharmacy staff member know that they have completed the form online.
3. Pharmacist Experience
If a patient has completed the "Walk-In" flow on your scheduling page, their information will appear on your Walk-In Patients section on your dashboard.
Statuses can be changed in two ways:
Changing Statuses via the dashboard
STEP 1: Check the dashboard for patients under the "Consented" status.
Patients who have completed their forms through the "Walk-In" flow will be instructed to check in, and let the pharmacy team know that they have completed their forms. If their forms have been completed, their profile will appear at the top of the queue under the "Consented" Status, with patients who have filled out the form first appearing at the top of the list. The time stamp indicates when a patient submitted their forms.
For group walk-ins (indicated by the primary patient's name + # of additional patients in the group), changing statuses via the dashboard will update the status for all patients in the group. Individual statuses can be changed by going directly into the patient profile.
STEP 2: Change the status to "Arrived" when a patient has checked in. This will let the pharmacy team know that a patient has checked in, and is ready to receive the service.
For group walk-ins (indicated by the primary patient's name + # of additional patients in the group), changing statuses via the dashboard will update the status for all patients in the group. Individual statuses can be changed by going directly into the patient profile.
STEP 3: When the pharmacist is available to provide the service, patients who are under "Arrived" may be called in to receive the service first. Change the status of the appointment to "Completed" when the service has been completed.
For group walk-ins (indicated by the primary patient's name + # of additional patients in the group), changing statuses via the dashboard will update the status for all patients in the group. Individual statuses can be changed by going directly into the patient profile.
Changing Statuses via the Patient Profile
Statuses can also be changed by going to the patient profile. Status changes can be done by clicking on the appointment you'd like to update, and changing the status in the top right-hand corner drop down on the consultation card.
4. Viewing your Walk-In Patients on the Appointments Tab
Please note that your appointments will not appear on your Week View calendar, as this only shows the scheduled appointments in your system.
However, if you switch to your List View mode, you will see a record of all the appointments conducted for the date (range) specified. They'll be logged here!
If you'd like to filter for Walk-In appointments specifically, you can leverage the "Mode of Booking" filter and select "Walk-In" in the drop-down menu.
In this List View, you can filter for other parameters (e.g. appointment type, status) through the Filter/Sort panel.
