COVax Mass Upload

How to easily Mass Upload all your appointments for the day into COVax and reduce manual entry of data

Here at MedMe, our goal is to help streamline and optimize your workflow with intuitive tools and processes. As we learned of the tedious manual data entry process of COVaxON, we felt obliged to develop a Mass Upload feature for you to easily export your patient list of the day from MedMe and upload it to COVaxON.

How It Works

For all appointments created after March 24th, 2021, we will be asking the patients to provide consent for COVax at the point of booking:

The procedures below make references to the COVax Job Aid for Mass Upload found here.

1. At the start of each day, go to "Appointments" -> "Print" -> "Export as CSV (COVax)", and download the file to your computer. The Vaccination Event ID can be retrieved in the "Vaccination Event" tab - it looks something like: 1314g00000002kKAAQ.
Note: The Vaccination Event # is NOT the Vaccination Event Name!

Note 2: Make sure you DO NOT open the downloaded CSV file because otherwise Excel will reformat it to something COVax does not recognize!

2. Go back to COVax, and create a New Mass Data Load Item (Step 2 in the Mass Data Load Job Aid from COVax)

3. Upload the file you exported from MedMe into COVax (Step 4 in the Mass Data Load Job Aid from COVax)

4. During the day as patients arrive, search for their profile in COVax through the "Client Search" function on COVax - you can search via First/Last Name, or HCN.

5. Review patient details & Launch Simplified Flow to complete injection administration details and check-out.

6. (Optional but recommended) Delete the CSV file on your computer to make sure you don't have PHI sitting in your downloads folder!

And that's it! Hopefully this feature would save a lot of the manual data entry for you in COVax.
