Navigating low supply of High-Dose Flu Vaccine

What to do when not enough high-dose flu vaccines are available for patients.

Offering the option to send Regular Dose Links when the High-Dose Flu Vaccine supply is low ensures that your patients don't miss out on crucial flu prevention due to inventory constraints. Optimize your appointment scheduling by filling in slots with regular doses and boosting overall vaccination rates in the community.

As recommended, high-risk patients should accept the first available flu vaccine. When patients register for the high dose, they can indicate if they are willing to receive a regular dose.

Sending Regular Dose Links when High-Dose Flu Vaccine Supply is Low

  1. Ensure there is booking availability for Flu (Regular Dose) appointment type before starting.

  2. Navigate to the Flu (High-Dose) Waitlist Tab using the lefthand pane, then select the Filter/Sort button.

  3. In the filter tab, under the Patient Criteria section check off the Open to Regular Dose filter and click Apply. Use other filters to narrow down the list of patients as needed.

  4. After applying the filters check off the desired number of patients then select Send Booking Link. This opens a pop-up with additional information.

  5. CRITICAL STEP - In the pop-up, select Flu (Regular dose) from the Flu Dose dropdown.

  6. Write a Custom Note to Patients

    1. Under the Add Note section, write a custom note patients through email or SMS. Here, explain that since there is a limited supply of high-dose vaccines, they are being sent a link to book a regular dose appointment. Adding a custom note will reduce confusion for the patient, and is highly recommended!

  7. Send the Booking Links

    1. The patient criteria and filters applied will be shown on the Select Dates tab of the pop-up, and the appointment type selected will be displayed on the final Confirmation tab. Ensure that these criteria are correct before confirming and pressing the Submit button.


Managing Active Links

Now that patients on the High-Dose waitlist have been sent a booking link for a Regular-dose appointment, this group of patients will now be managed on the regular-dose waitlist. Any active links will be shown on the Active Links tab of the Regular Dose Waitlist and any patients who have expired booking links will be shown on the Expired tab of the Regular Dose Waitlist.

Indicating Preference from the Patient Side

When patients join the Flu High Dose waitlist, they will be shown a question that will allow them to indicate their openness to receiving a regular dose flu vaccine in the case of limited supply.

If an individual is joining the waitlist:

In the absence of the high-dose Flu Shot vaccine due to limited supply, are you open to receiving the regular dose Flu Shot, if it’s the first vaccine available?

If a group is joining the waitlist:

In the absence of the high-dose Flu Shot vaccine due to limited supply, is your entire group open to receiving the regular dose Flu Shot, if it’s the first vaccine available?

Patients/groups that select Yes to this question will appear under the Open to Regular Dose filter on the Flu High Dose waitlist.


FAQs

What if I send booking links to the wrong group of patients?

If regular dose booking links to the wrong group of patients it is best to use the Move to Expired setting on the Regular Dose waitlist to manually move them to Expired Links. This will ensure they don't book an appointment that cannot be fulfilled. This setting can be found by selecting any number of patients in the Active Links tab.

What if I want to resend booking links to patients who have expired booking links?

Use the Expired Links section as a secondary waitlist to send patients booking links. This is beneficial if patients were unable to schedule an appointment initially due to lack of availability and were moved to the Expired Links section as a result.
