How to Import Patients from LibertyRx into MedMe

This article explains how to export patient data from LibertyRx as a CSV file and upload it to MedMe.

Before You Begin

Before starting the import, confirm the following are available:

  • Access to LibertyRx (RXQ or PharmacyOne) and to the Pharmacist Account's MedMe dashboard

  • A computer that has access to both LibertyRx and MedMe, so the file can be uploaded right after exporting

A few things to know before you start:

  • Extra columns won't carry over. Fields outside the required list below, such as allergies, may have no matching spot on the MedMe patient profile and won't be imported. Keep that data in LibertyRx.

  • Missing city or ZIP. If a patient's row has no city or ZIP code, MedMe applies the one on file for your pharmacy. Let your Account Manager know if precise per-patient location data matters for your services.

Tip: To reduce duplicate patient profiles, turn on Automatic Patient Merge under Settings > Organization > Patient Merge before uploading.


Phase 1 — Export Patient Data from LibertyRx

LibertyRx uses the Patient Data View tool for this, not the older Client Import/Export utility.

  1. Open Patient Data View. In the Patient tab, go to Patient Data View. Choose Patient Data View for demographics, or Patient Insurance Data View for payer and subscriber fields.

  2. Choose your columns. Right-click any column header, choose Column Chooser, and tick the following fields:

    • First Name, Middle Name, Last Name, Date of Birth, Sex/Gender, Email, Cell Phone, Home Phone

    • Address Line 1, Address Line 2, City, State, ZIP Code, Country

    • Primary Care Provider (PCP) Name, PCP Phone

    • Emergency Contact Name, Emergency Contact Phone

    • Payer Name, Subscriber ID, Subscriber First/Middle/Last Name, Subscriber DOB, Subscriber Address, Subscriber Relationship

  3. Filter or sort the list (optional). Hover over a column header and click the funnel icon to filter. Click a header to sort.

  4. Save the view (recommended). Go to File > Save Data View. The next time you export, your column selection is already built.

  5. Export the file. Go to File > Export. LibertyRx writes a CSV directly, so there's no Excel conversion step. Save it somewhere easy to find, like your Desktop.

Reminder: Open the CSV and confirm the Country column is present and populated on every row before uploading. It's the field that most often comes across blank.


Phase 2 — Upload to MedMe

  1. Start the import. On a computer with access to MedMe, open the Patients tab in the left-hand menu, then click Import Patients in the top right of the Patients screen.

  2. Upload the file. Click the + to upload the CSV you exported from LibertyRx.

  3. Confirm the header row. MedMe shows a preview of the file. Click Next, then click Next again.

  4. Note the row count. On the Review & Finalize screen, the All rows count is the number of patients that will be uploaded. Write it down so you can check it against your confirmation email.

  5. Close the import window. Click the X in the top right corner. MedMe will warn that the import has not completed yet — this is expected. Select End the import, and MedMe finishes the import in the background on your behalf.

  6. Let your Account Manager know. Notify your MedMe Account Manager once the upload is in to ensure timely processing.

Please Note: Processing can take up to 2 business days. You'll receive an email confirming your final patient count once the import is complete. No further action is needed while you wait.


Keep Patients Current with the LibertyRx Integration

Once your existing patients are in MedMe, the LibertyRx integration can keep things up to date. It's a direct connection between LibertyRx and MedMe, so new and updated patient records come across without exporting another file.

  • What it brings across: As of August 2026, the integration pulls patient demographics only: name, date of birth, email, and phone number. It does not pull medication lists, insurance information, or other clinical data. We'll update this article if that changes.

  • Import your existing list first: The integration only picks up patients as changes occur and does not backfill your existing roster. Complete the CSV import above before connecting.

Troubleshooting

Duplicate Patient Profiles

Duplicate profiles usually happen when a patient already exists in MedMe — added by hand or through an earlier test import — and the new import file creates a second record instead of updating the existing one.

Warning: Deleting a duplicate profile outright also removes its linked patient history. Use MedMe's patient merge tool instead of deleting profiles.

How to prevent and fix duplicates:

  • Turn on Automatic Patient Merge under Settings > Organization > Patient Merge before uploading. Most duplicates are then merged the day after upload.

  • MedMe matches patients by name and date of birth — keep these fields formatted the same way in both systems.

  • If duplicates appear after import, merge them rather than deleting them.

  • When in doubt, flag the duplicate to the MedMe support team before merging or deleting anything.

Blank or Missing Fields

Exports often have gaps — a missing email, an incomplete address, or no PCP on file. How a blank field should be handled depends on whether that field is required.

  • Required fields must be filled in before MedMe will accept the row. Optional fields can stay blank.

  • "Required if billing" fields only matter when subscriber or payer information is part of the import.

Warning: Avoid entering placeholder text (such as "N/A") in required fields just to pass validation. A flagged blank field is far easier to fix later than bad data.


Conclusion

Once your export is ready, the upload takes just a few minutes, and MedMe finishes the import in the background. From there, the LibertyRx integration can keep your patient list current going forward.
