Preparing the CSV File
To begin, export the patient list from the pharmacy management system (e.g., Kroll, Propel, Fillware). The CSV must include:
First Name
Last Name
Date of Birth
Email Address
Phone Number
Please Note: A valid email address is required. A placeholder like getinfo@info.com may be used temporarily.
Accessing the Import Function
Uploading the CSV File
On the Upload a File screen:
Drag and drop the CSV file, or
Click the “+” icon to browse for the file.
A data preview will appear.
Validating and Fixing Formatting Errors
Click Next to start automatic validation.
Review and fix flagged errors:
Tip: Wait for a green checkmark before proceeding.
Using Find and Replace
Use the Find and Replace feature to:
Replace common formatting issues across selected columns.
Select specific columns via the “All columns” dropdown.
Uncheck Exactly match this cell to apply to all similar entries.
Tip: Find and Replace helps quickly correct common formatting errors like phone numbers.
Completing the Import
Warning: Large files may take longer to process. Refresh the Patients list to view updates.
Confirming Patient Records
Check the Patients list to confirm imported records. Verify:
Patient names
Contact info
Last modified date
These patients can now:
Receive communications
Be added to appointment types or clinics
Join public intake or waitlists
