External Flu Clinics

Streamline External Flu Clinic bookings, set up unique links, locations, unique availability, and customize SMS/Email communication.

Using MedMe's External Flu Clinic feature allows pharmacists to host flu clinics outside of their pharmacies and streamline appointment booking and management. Here are some additional contexts where this feature could be highly beneficial:

  • Corporate or Workplace Flu Clinics

  • Retirement Homes

  • Assisted Living Facilities

  • Community Centers

  • Schools and Educational Institutions

  • Community Events

  • Hospital Flu Clinics

  • 55+ Centers

  • Community Outreach Programs

💡 The External Flu Clinic feature is not set up in the MedMe platform by default, this feature is available to pharmacies upon request. Please contact us through live chat for more information. Additional charges may apply.

How to Add a New External Flu Clinic

  1. Navigate to Settings

  2. Select External Clinics

  3. Click Add at the top right corner

  4. Enter an Appointment Name and Location, and select Create

This replaces your default store location in all communications, making it clinic-specific.

Please note that these appointments can not be deleted.


Setting Up Flu Clinic Availability

There are TWO important Calendar settings to be aware of:

  1. External Clinic Appointment Settings

  2. Calendars Settings

Step 1: External Clinic Appointment Settings

  1. Select Settings

  2. Select External Clinics

  3. Choose the appointment that needs to be edited

  4. Select Calendar Availability

  5. Customize the Start Date, End Date, Start Time, End Time, and Closed toggles.

Tip: The typical blocked time feature cannot be used for external clinics, as it creates blocks across ALL calendars set up in the pharmacy, including the Shared Calendar. We suggest creating a new patient called "Break Time", and scheduling appointments under this patient to block off times in your Clinic-specific calendar.

Step 2: Calendars Settings

After completing Step 1

  1. Select Calendars from the Settings screen

  2. Add a Calendar, or choose an existing Calendar

  3. Ensure the appointment made is Assigned to a Calendar

  4. Ensure the Calendar Availability is open, or matches the Appointment Availability

  5. Customize the Start Date, End Date, Start Time, End Time, and Closed toggles.


Customize Appointment Messaging and Details

  1. Select Settings

  2. Select External Clinics

  3. Choose the appointment that needs to be edited

  4. Customize your messaging in the Details Tab


Gather and send the Scheduling Link

  1. Select Settings

  2. Select External Clinics

  3. Choose the appointment

  4. Select Calendar Availability

  5. Retrieve the Self-scheduling link unique to the new clinic

  6. Click Copy to Clipboard and distribute to your patients (Tip: use Send Custom Email feature)

  7. Monitor booked appointments in the Dashboard or Appointments tab
